Vyne Dental and Dress For Success

What began with a desire to help economically disadvantaged women acquire professional clothing has evolved into a worldwide movement with affiliates in 23 countries. Dress For Success is a global not-for-profit organization that empowers women to achieve economic independence by providing a network of support, professional attire and the development tools to help women thrive in work and in life. Dress For Success works with local community groups to provide suiting, career counseling, and leadership training to help women achieve economic independence.

 

Vyne Dental is a proud supporter of the Dress for Success mission. On September 16th, Vyne Dental sponsored Stepping Out In Style, a fundraising event at the JW Marriott in Indianapolis attended by Vyne Dental leadership.

 

In addition to providing sponsorship, Vyne Dental Ⓡ team members participated as volunteers onsite at the event. But Dress for Success’ goal of spreading empowerment and success have motivated Vyne Dental to extend their involvement even further. “We’ve created a training program that we’re hoping to administer with Dress For Success that can help career placement specifically for dental offices,” says Kris Grimes, Senior Vice President of Operations and Internal Systems. 

 

As part of his role, Kris oversees Vyne Dental’s training delivery and content development teams. “Teresa Duncan, a guru in dental education and partner to Vyne Dental, helped us frame the core responsibilities and roles within a dental office. From there, we developed a training curriculum to help Dress for Success place candidates into those roles. Financial support is important, but training is even better.” 

 

The healthcare sector is in real need of trained staff. “People are burned out, leaving in staggering numbers,” says Kris. “Everybody is looking for motivated and skilled employees to fill a variety of jobs. This is a natural partnership – and the best partnerships are the ones that are virtuous for both parties.” 

 

Beyond altruism and practicality, Kris has personal reasons for spearheading this training initiative. Raised by a single mother who experienced difficult economic circumstances, Kris has a profound understanding of the needs Dress for Success can fill. “I’m a firsthand example of what can happen when people receive assistance like this. Medicare Advantage Plans: Helping Your Senior Patients

With the senior population swelling, every year a higher percentage of our client base will be retired, and on a fixed income.” Knowing what to offer and how to clarify coverage is a distinct advantage for a dental practice. “You can be fair and profitable and still be helping your patients – patients who might otherwise end up elsewhere, with a lesser quality of care.”

The Importance of Keeping up with Professional Development

The last three years have seen a massive surge in online education, in terms of both offerings and adoption. Out of necessity, during the pandemic many people became used to the idea of learning online. Whether school students or working adults, whether via live webinars or recorded asynchronous courses, millions went online to further their education and professional development. 

 

Continuing education is integral to dentistry. Technologies and procedures are constantly being refined and improved, and CE courses are the best way to stay on top of all the changes. But professional development isn’t limited to the clinical side of dentistry: office managers and insurance coordinators also have to adapt to rapidly changing tools and techniques, all while keeping a busy practice running smoothly.

 

Luckily, there are organizations to help. AADOM, the American Association of Dental Office Management, is a comprehensive educational resource for anyone seeking to learn more about  dental practice management. They offer courses, webinars, and even a conference.

Teresa Duncan, insurance expert and educator, stresses the importance of continually striving to advance professional development.

 

“The thing is, insurance changes a lot,” Teresa says. “Not only do codes change every year, but every plan has different guidelines. And every year those guidelines change – you have to find out what the new guidelines are for processing each policy for each carrier. If you don’t take classes or courses to keep up with this type of thing, you may be operating on rules that are years out of date.”

 

Each year, Vyne Dental and Teresa present a free CDT Coding Update in January, followed up by a Mid-Year Insurance Check-In. A consultant, speaker, and trainer for decades, Teresa is passionate about helping team members keep up to date. “There are so many plan design changes. Medicare Advantage plans can be designed very differently than traditional dental plans. For instance, in a traditional plan, X-rays and evaluations may be in one category, typically at 100%. Some MA plans will split them up, X-rays at 80% and evaluations at 100%. If you were unaware of the influx of Medicare Advantage Plans into the dental industry, you would be very surprised by how unusual they seem.”

 

As technological and clinical processes continue to evolve, it is more important than ever to remain up-to-date. After all, professional development is not only good for the individual, it’s also good for the dental practice as a whole. “Imagine a dentist coming out of dental school and never taking another clinical or materials course,” says Teresa. “The whole workflow would become stale, antiquated. And it shows an unwillingness to learn which is not what anyone wants in a flexible insurance coordinator.”

Simpler, Faster, Better: Tewksbury Dental Associates on Vyne Trellis

Tewksbury Dental Associates is a busy dental practice located in Tewksbury, Massachusetts. With five dentists, two specialists, seven assistants and an equal number of hygienists, the practice sees more than fifty patients a day, every day. Samantha Mitsios, insurance coordinator for the practice, has a lot on her plate. “I’m the head of researching options, verifying eligibility, entering and submitting claims, checking claims status: from A to Z, if it’s insurance, it falls in my wheelhouse.”

The practice had previously used Vyne Dental’s  Remote LiteⓇ solution. While researching better options for claims submission, Samantha reached out to Vyne Dental and learned of another solution it offers, the Vyne TrellisⓇ platform. “The other features through Vyne Trellis, for claims submission, were significantly different from what we were used to with Remote Lite. Better. And we are totally enjoying it.”

More operatories, means more patient appointments, and that makes the need for a streamlined workflow even more crucial. “With the sheer number of claims we’re submitting, we need simplified systems. They cannot be complex and require too much time – there’s just too much to get to.” Vyne Trellis has eliminated extra steps, and made Samantha’s process much simpler. “When something is simpler, it’s faster. So I can get to the other, more important, parts of my day.”

Vyne Trellis has made a significant difference to Samantha’s workflow. The solution itself was almost intuitive. “Once we started, we realized using it was incredibly simple – we didn’t even need formal training. It’s user-friendly, and very, very quick.”

Her personal favorite function is the hold function on claims.  “If we’re going through a batch and see that a claim needs more attention, we can mark it as a hold and send everything else. It won’t be in our main office management queue; it won’t hold anything up. Once we get the information we need, we just check it and mark ‘release’, and it’s off!”

But that wasn’t all Samantha found to love. “Vyne Trellis offers many other features, such as the secure email* – for referrals, having a central location was huge.” Tewksbury Dental Associates has been looking for a way to manage their referrals. With multiple dentists, patients, and specialists to handle, the process had developed so many steps it had become cumbersome. “When referrals are done from a central location, and still done securely, then it’s a lot easier for us to keep track.” 

When asked if she would recommend Vyne Trellis to other insurance coordinators, Samantha responded with an enthusiastic “Of course! The connection to information makes everything so much faster, like submitting claims, and accessing denial reasons. And I love being able to use it so easily.” 

Over the 14+ years Samantha has been with Tewksbury Dental Associates, she has seen the practice grow exponentially. “We went from having a split-branch style office, with six operatories. The one we’re in now is probably three times the size. And we’re currently adding on more operatories in the new addition.”
