  • Click on “Eligibility” (located on left sidebar) 
  • Select “Appointments” (date will default to today or you can select a different date)
  • The Appointment Date, Patient Name, Carrier, Status, and Last Verified Date will display
  • Click on “Last Verified Date” to view the response

2023 CDT Coding Update with Teresa Duncan

 

Each year brings new CDT coding changes: it’s vital to get these right so you can set your practice up for success. When it comes to getting the details right, award-winning insurance expert and educator Teresa Duncan has your back. On Tuesday January 10, 2023 at 1pm ET, Teresa will present her popular annual CDT Coding Update webinar.

Teresa’s first major goal is to spread awareness about the incoming changes. “There are 22 new codes, 14 revisions, and 2 code deletions,” she says. Using obsolete codes will lead to frustrating delays. Teresa will explain the additions, deletions, and revisions in context, so dental billers can see how each fits into the evolving insurance landscape.

But there’s more to the update webinar than the basic numbers. “Some of the biggest changes have to do with guided tissue regeneration, full mouth radiographs, and full mouth debridement. I’ll focus on what those imply for the practice in general.” Both the administrative and clinical staff have obligations to ensure claims are properly submitted, so Teresa will also share best practices to bring the whole team, front-office and back-office, up to speed.

Teresa will touch on the proliferation of Medicare Advantage plans, and what that might mean for your practice. She’ll also explore the current legislative environment, and the implications it might have for insurance in both the short and long term. “It’s important to know what could be coming to a Congress near you,” she says.

With years of experience, Teresa is able to discern larger trends and sift out granular detail. “Carriers are much more specific than they were before,” she explains. “That can be problematic for us, on the administrative side. But when you understand the context, the changes aren’t so frightening. The most important thing is not to freak out.”

Responsible for both product and engineering, Malik will also oversee quality assurance, security and compliance.

Renowned for his considerable engineering skills and his ability to manage teams, Malik hails from the Greater Boston area.  With 29 years of experience as a technologist leading product development teams, Malik intends to build on his competencies to help Vyne Dental improve processes and drive sales with effective messaging.

 

Malik has spent the last four years working in revenue cycle management for the healthcare industry. He welcomes the disruption the industry is facing. “A lot of revenue recognition is still done by paper, by faxes, statements, letters mailed to homes and insurance carriers. Changing that process is what I enjoy – that’s what I’m here for.”

 

With oversight of a large and growing team, Malik’s position takes a 360 view: he must plan ahead for the future of development; keep an eye on the present to ensure products are advancing as required; and also stay aware of past performance in order to effectively provide support. “How do you define goals across the company and make sure those goals are distributed across organizations?” he asks. “That is my main task. I enjoy empowering people in that direction.”

 

Integrating products together is one of Malik’s top skills, another is integrating teams. “I believe people are your core asset, that make or break you.” He was attracted to Vyne Dental both for the technical challenge and for the personnel. “I knew we could be partners, could work towards our common goals. They are very open in a collaborative way.”

 

Malik will pursue two main initiatives as CTO. The first is improving all aspects of automation. “I want to make sure we are constantly optimizing for our customers to execute the functionality we offer. How can we move the process from 10 steps to seven to two?” His next, equally important priority will be the application of AI to the first steps in the claims adjudication process.

The Top Five Ways to Involve the Entire Team in Revenue Cycle Management

Dayna, the founder of Novonee, is an expert in creating productive dental practice workflows that increase profitability. Collecting on the day of service is paramount. Dayna encourages dental teams to create a communication system where every member knows their current patient’s copay. It’s best for the practice if no patients walk out the door without paying. “Your money is worth more today than it is later,” says Dayna. “If your accounts receivable goes over 60 days, you’ve already lost about 30% of your revenue. Plus, if you don’t collect on the day of service, you have to use additional time and resources to collect later.”

In addition, Dayna will explain how both the clinical and administrative teams are responsible for the documentation required to file claims. “Insurance companies are requesting more and more documentation. Good clinical templates make for better clinical documentation, so claims sail through auto-adjudication and payments aren’t held up.”

A major component of revenue cycle management is communication, and Dayna will give your teams tips to improve communications between practice and patients. “A lot of people get uncomfortable about asking for money: practicing the language and verbal skills ahead of time can lessen that struggle.” Comfort and familiarity make every task easier. “I also want to stress that everyone – whether working in the front office or the back – needs to learn how to work the credit card machine.”

Working together as a team is the best way to streamline your revenue cycle management. “Our practices have to be profitable,” says Dayna. “If they’re not, nobody wins. So we should all be on the same page, fighting together as a team.”

Vyne Dental Proudly Welcomes AADOM’s Newest Chapter: the Dental Spouse Business Network

 

The American Association of Dental Office Management (AADOM) connects, educates, and empowers dental office managers and leaders across the country. AADOM was created to provide dental administrators with the resources and support they need most to help their practices thrive. Now AADOM has opened a new chapter, the Dental Spouse Business Network, to meet the particular needs of dental spouses.

Beverly Wilburn, office manager for Dr. Karl Smith, DDS, LLC, joined AADOM in 2006. “Knowledge is power: Continuing Education helps us perform our jobs better.” Beverly also wanted to become a better leader.  In 2022, Beverly was acknowledged as AADOM’s Practice Administrator of the Year: she is now the first Chapter President of the Dental Spouse Business Network (DSBN). 

“Spouses have unique challenges compared to other office managers. Not more, but different.” Beverly recognizes that many spouses want a deeper level of understanding in regard to dental business operations because practice revenues affect their household incomes and future life goals. Previously part of a private group, she was inspired to develop the DSBN into a full-fledged AADOM chapter after the pandemic started. “We had some truly fantastic bonding experiences on zoom facilitated by AADOM admins team, which we carried over to the AADOM conference in Orlando in Sept 2021.”

After pitching the idea to AADOM, Beverly was given the opportunity to lead the new chapter. The DSBN will have four meetings per year: one just prior to the AADOM conference, two virtual or hybrid meetings, and one in-person meeting. Since their members hail from all across the country, the chapter will choose different meeting locations each year. “Our goal will be to grow the network and also our local city chapters. The AADOM conference is the not-to-miss big show, but the chapters are where the magic happens.”

That magic includes connection, education, and practical support. “We want to be the go-to resource for product suggestions, for learning, for support, and for each other.” Beverly understands the many varied roles dental spouses play in modern practices. “I for one am very hands-on in performing the day-to-day tasks of administration. Some spouses play more of a CEO or CFO role; others play a smaller role in the practice and a larger role at home supporting their dental spouse. But we all often find ourselves making decisions that affect the bottom line.”
