Mastering Revenue Cycle Management: Essential Terminology To Know

What is Revenue Cycle Management?

Revenue cycle management (RCM) is a comprehensive process that involves your dental practice actively monitoring and evaluating the collection of payments and insurance claims throughout a patient’s entire care journey, starting from the moment their appointment is scheduled until the final payment is made.

Knowing the many terms that accompany revenue cycle management can help ensure you are properly managing and maximizing the cash flow of your practice.

Key RCM terminology every dental professional should know

  • Claim: A request to the insurance company seeking compensation for dental services rendered.  Typically, the claim includes an itemized statement of services and costs provided by the dental professional.
  • Claim Denial: The decision of an insurance company to decline coverage for dental services.
  • Real-time Eligibility Verification:  Instant confirmation of a patient’s coverage and benefits from private or government payers.
  • Preauthorizations: Confirmation from a third-party payer that the proposed treatment is eligible for coverage per the terms outlined in the benefit contract.
  • Predetermination: The process of a dentist submitting a treatment plan to the payer for review, which includes patient eligibility, covered services, amounts payable, co-payments, deductibles, and plan maximums.
  • Deductible: The set amount that needs to be paid for covered dental services before the insurance kicks in.  It is renewed annually, typically based on the calendar year.
  • Accounts Receivable (AR) Management: The process of pursuing and resolving unpaid claims.  It includes monitoring, managing, reworking, and appealing denials until the claims are successfully paid and processed.
  • Patient Collections: Billing the patient for any remaining balance once insurance payments are processed.
  • End-to-End Dental RCM Software: A platform that empowers healthcare providers by equipping them with digital tools and resources to enable optimal revenue opportunities by electronically tracking and automating traditionally manual tasks like patient scheduling, insurance verification, billing, and collections processes.

How a Pediatric Dental Office Uses Modern Solutions to Deliver Exceptional Care

Busy dental office seeks cost-effective workflow automation improvements

Florida’s Clermont Pediatric Dentistry is a trusted dental practice dedicated to providing exceptional care for children’s dental needs.  With a team of compassionate and highly skilled staff members, the practice has been serving 60 – 80 patients daily in the Orlando suburb of Clermont for over 15 years.  James Russo, Business Manager for the practice, plays a vital role in ensuring seamless operations and supporting their two experienced dentists in delivering top-notch dental services.  “We are always looking for ways to automate and improve our workflows,” James shared, “making sure that our claims get processed accurately and efficiently.”

“Years ago, we used solutions that were bundled with our practice management system, but for a high volume office, those tended to be too expensive because you are paying per claim as opposed to per month, and when you see the volume of patients we see every month, it doesn’t make sense to use that solution,” James explained.

An ultimate solution for claim and attachment management

The thriving practice began using Vyne Dental’s Trellis® Platform to manage its claims, and the company emerged as the ultimate solution, granting the practice the ability to submit unlimited claims and attachments.  With Vyne Dental charging just one monthly fee, James discovered that other solutions on the market “don’t provide any value like Vyne Dental®’s real-time verification of the claim submission and the ability to check the status of the submission and correct any errors.  We migrated away from other products within our practice management system because Vyne Dental provided a better value.”

“The cost savings is great,” James shared, “but the product just works.  You submit the claims, and you have confidence that they are going to get processed, so it frees up your mind not to have to worry about the claims.  You know once that batch is submitted and accepted that those claims are going to get processed.  They are going to be adjudicated, and you are definitely going to get an answer.”

Vyne Dental helps teams prioritize delivering exceptional care

With Vyne Dental’s solutions uniquely crafted to meet the needs of dental billers and practice managers, James has found that “it also frees up your mind to be able to focus on providing good care and good customer service, being the best you can possibly be in a practice.  You can provide a high level of service because you aren’t worrying about the claims.  You aren’t worried about whether or not you are going to get paid for them.”

James also appreciates Vyne Dental’s exceptional customer support team, “The support experiences are always above average.  I don’t get bounced around to a million people.  I talk to one person, they remote in, and do exactly what they need to do.  It is always a quick and easy experience.”

Experience the benefits of upfront insurance verification and revenue acceleration

“We are excited to get on board with the next iteration [features] of the product with Vyne Trellis® to make use of the insurance verification features,” James said. “We believe that everything is better solved if you can verify insurance upfront, so if we can set the expectation that this visit is not going to be covered with insurance because your insurance was terminated two months ago, it is a much better experience.”

Modernizing Your Practice: Key Facts to Help Attract Gen Z and Millennial Dental Patients

Dental practices must adapt to meet the needs of millennials and Gen Z to stay competitive

Millennials, the largest population segment at 73 million people, currently account for 21% of healthcare spending.  This tech-savvy generation has driven significant changes in the dental industry; however, Generation Z, the newest young adult generation, is expected to turn the healthcare industry on its head.  With this generation’s focus on immediate results and unique perspectives on efficient dental care,  practices must adapt and cater to the needs and wants of both generations to stay competitive in the market.

To effectively operate a modern dental practice that caters to the two largest population segments of today, it is essential to be aware of the following key facts:

01 – 61% of millennials want real-time payments with 65% of global consumers expected to leverage a digital wallet by 2030.

02 – Online appointment scheduling is preferred by 50% of individuals aged 18 – 44, compared to only 20% of those aged 65 and older.

03 – Both millennials and Generation Z are avid social media users with over half of each generation checking social media multiple times a day.  On average, Generation Z spends over two hours daily on social media, while millennials are the most active with 32% posting daily or multiple times a day.

04 – Three-quarters of Generation Z prioritize environmental sustainability as their top concern when making purchasing and pursuing services.

05 – Real-time eligibility verification addresses the desire of both millennials and Generation Z for transparent dentistry billing.  By eliminating guesswork, this solution enables dental providers to help patients to comfortably budget for dental treatments by providing insurance verification, enhancing financial planning and satisfaction.

06 – Amazon, Apple, and/or Google are the preferred tools to use when finding the right healthcare services for 42% of individuals between 18-44 years of age.

07 – A significant concern for 75% of Generation Z and 48% of millennials is the potential impact of their health preventing them from fully experiencing life’s possibilities.

08 – Generation Z values convenience above all else, seeking minimal interactions and avoiding waiting in line.  Their lack of loyalty to a single practice means failure to provide their desired convenience may result in them seeking alternatives.

How a Successful DSO Maximizes Operations and Accelerates Revenue

Accelerating revenue collection in a thriving DSO

In her role as Insurance/Revenue Cycle Manager, Lori Brady’s responsibilities revolve around ensuring the 17 practices she manages are submitting to the correct insurance company and that New England Dental Partners receives timely payments for their services.  “I check all of the offices’ insurance stage reports to make sure they aren’t getting old,” Lori explained.  “We see a lot [of claims] in current, we might see a few in over 30 [days], very few in over 60, and it is almost non-existent in over 90 days old.  We are [typically] getting paid within 7 days.”

Lori’s secret to achieving these astounding numbers is the Vyne Trellis platform, Vyne Dental’s® comprehensive, web-based dental billing platform helping dental practices accelerate their revenue by simplifying the process of claims and attachment management.

Boost your team’s knowledge and accountability by efficiently tracking claims with Vyne Trellis

Before utilizing Vyne Trellis, New England Dental Partners relied solely on a practice management system to manage claims, and Lori noted how “claims were getting dropped and lost, but I didn’t keep track.  I didn’t realize how often that was happening.  We just accepted it, but now [with Vyne Trellis], I teach not only to go back and check a couple of weeks ago, but we go back, and we do 3 – 4 months ago.”

“I’ve been finding [that] whether you are new to the industry or you are a veteran,  it never hurts to learn and remember the basics,” shared Lori, “and Vyne Trellis helps me teach new people the basics. It’s a great learning tool to use as a learning process all throughout, even on seasoned veterans. It’s just so good.”

While accelerating revenue collection for New England Dental Partners, Vyne Trellis also tracks the status of claims, helping hold all involved parties accountable.  “We are told all the time [by payers] that we didn’t receive an attachment,” Lori explained, “but when I have an NEA number, they can find it.  We can merge them, and we are happy it will get paid.”

An intuitive and user-friendly platform helping give immediate results

“Vyne Trellis helps give immediate results,” shared Lori, valuing the platform’s flagging of any submission errors or claim holdups, streamlining the process of submitting clean claims from the start.  “We don’t have a street address?  It is going to kick it back.  If we didn’t collect the correct group number or ID number?  It kicks it back,” Lori said.  “It helps with remembering, even if I’m a seasoned veteran.  By sending out claims properly the first time, it is considered a clean claim in my book, and we will get paid the first time.  That is our goal.”

Additionally, the platform is intuitive and user friendly with Lori valuing that “Vyne Trellis is a good hand off because there are some front desk people that take turns at doing the attachments.  It may be an assistant or a hygienist.  I have a big, big office with four people that work at the front desk and four hygienists, so if those hygienists are floating around they know I’m going to ask them to do some attachments for me. They can just pick it up, and it’s not a big deal.”

“I’m not waiting for claims to be sent out with attachments because Vyne Trellis is there to remind me all the time,” Lori shared.

Empowering dental practices through efficient, time-saving features

Currently, four of Lori’s practices utilize Vyne Trellis’ Batch and Real-Time Eligibility Verification and Benefit Breakdown, a feature that confirms patients’ insurance plan eligibility and benefit breakdown instantly and automatically, in real time or in batches.  “These offices are busy for a reason and know what they want,” explained Lori. “I put it in our four busiest offices, so they could get the benefits quickly.  When they hit the button, they are expecting immediate results, and they are getting them.”

“What I like the most about Vyne Trellis is I don’t have to look for or hire someone who knows a lot about insurance.  I don’t have to focus on that,” Lori said.  With the Vyne Trellis platform, insurance experience is no longer a necessity when hiring new employees as Lori highlighted the easy-to-use platform clearly “prompts users along the way.”

“If I were a single practitioner,” shared Lori,  “I could confidently purchase Vyne Trellis and know that my claims would go out correctly the first time.”

How Medical Radiologists Can Help Protect Your Patients and Practice

A comprehensive scan that can save lives

With the ability to reconstruct a three-dimensional (3D) image of a patient’s teeth, mouth, jaw, neck, ears, nose, and throat, a cone-beam computed tomography (CBCT) scan is used by radiologists and dental professionals to capture detailed data for various clinical applications.

Compared to standard x-rays, a dental CBCT scan can show both bones and soft tissues and uses less radiation.  Additionally, unlike traditional dental x-rays, fewer scans are required to see the different views and angles of a patient’s mouth.

When a dentist gets a CBCT scanned image back, only about 10% is the dentition that is subject to the dentist’s interpretation so having board-certified medical radiologists interpret the radiograph can catch missed pathologies and potentially save the lives of patients.

Did you know?

  • DentalRay detects an incidental finding in one of every 12 CBCT images.
  • Clinical relevance was found in one out of every three patients where a scan detected an incidental finding with 38.6% of this population requiring further treatment.
  • In one out of every 400 CBCT images, DentalRay uncovered cancer with early detection being a lifesaver in cases where the cancer was rapidly acting.
  • Malpractice litigation is a threat for dentists who perform CBCT scans but miss pathologies by failing to have board-certified medical radiologists interpret the findings.

Protect your practice and increase patient loyalty with DentalRay

DentalRay elevates your practice’s standard of care by providing a team of certified radiologists to diagnose non-dental findings from CBCT scans along with:

  • Automatic submission of radiographs to a network of board-certified medical radiologists
  • User-friendly dashboard to manage radiograph images
  • Fast turnaround time with a medical radiologist report returned within 48 hours
  • Protection for dentists, removing the liability of malpractice for missed pathologies when interpreting CBCT scans

Patients will reward you with increased trust and loyalty when you protect them with an investment in DentalRay.  Increasing transparency and gaining additional patient insights from radiology reports raise the bar for your practice’s excellence. Contact DentalRay today.

Vyne Trellis is our end-to-end revenue cycle management platform that streamlines claims submission and tracking, provides batch and real-time eligibility of benefits, and facilitates a secure environment for your communications so your practice can Bill without Boundaries. Helping offices modernize services and appeal to tech-savvy generations through convenient 24/7 Live Webchat.

Rapid advancements in technology present a challenge for dentists to stay-up-to-date with the latest developments.  One significant hurdle faced by dental practices is helping patients overcome their anxiety when scheduling an appointment, especially if they have not visited the dentist in several years.

Flucke & Associates Dentistry is dedicated to providing the very best care possible in a fun, caring, and low-stress atmosphere.  Offering state-of-the-art care, the practice strives to have patients relaxed and smiling from the moment they arrive to the moment they leave.  To create this welcoming environment, the Flucke & Associates team offers patients a cup of freshly brewed coffee, a warm blanket, hand lotion, or warm mittens.  Dr. John Fluke, one of three doctors in the practice and technology editor of Dental Products Report, one of the nation’s largest dental publications, observed another trend in the practice, “The generation that should be your target audience hates making phone calls. Live chat lets them reach you the way they want to reach you,” Dr. Flucke explained.  To solve this problem, the practice decided to implement [Vyne Dental’s] Live WebChat.

Here’s what happened:

With Live Webchat, the Flucke & Associates team saw an immediate increase in new patients in just one month due to the tool’s ability to:

  • Respond to website visitors within seconds, answering questions & gathering relevant information to schedule appointments
  • Integrate with most practice management software
  • Schedule directly or pass along leads in real-time to the dental practice team to finalize appointment details in an encrypted environment

“It’s really convenient for patients,” said Dr. Flucke. “When you consider that more than half of the patient population in the U.S. has some form of dental anxiety, it’s hard for some people to pick up the phone and call. This makes the interaction low-stress.”  Streamlining the appointment scheduling process not only benefited patients but significantly improved the process for the Flucke & Associates team members as well.

With real people trained to answer questions specific to Flucke & Associate’s practice, patients could easily schedule appointments on their time and not just during office hours.
